This full-time position, based in our studio in Kilkenny, Ireland, offers a rare chance to be part of the creative industry while working in a vibrant and innovative environment.

About the role

The Human Resources Coordinator will contribute to creating a positive work environment and support various HR functions to assist the studio to run efficiently.

What you’ll do

  • Carry out and take ownership of administrative tasks and duties relating to the efficient and effective operation of the human resources department and office
  • Work with the HR Manager to ensure compliance with policy and procedures including diversity and inclusion and compliance on employment regulations
  • Maintain and be responsible for the day-to-day administration of the electronic HR administrative system, including (but not limited to) updating the system with documentation pertaining to new hires, leavers, crew role changes and freelancers
  • Conduct periodic system audits and carry out corrective action as required
  • Scheduling and coordinating regular, periodic crew planning meetings for the studio
  • Draft and issue contracts and letters and maintain general filing and uploading of relevant paperwork to agreed and appropriate folders/locations in electronic HR administration system
  • Serve as a point of contact for crew’ HR-related inquiries
  • Promote a positive work environment through crew/management engagement
  • Maintain recruitment inbox on the electronic HR administrative system and drive the recruitment pipeline by following up within the agreed timeline, on requests for testing, issuing interview invites and actioning response emails to applicants upon review
  • Together with the HR Manager work on the recruitment strategy for open roles
  • Work with HR Manager and Managers of departments to ensure start dates and on-boarding fits with the studio schedule
  • Complete administration on foreign worker documentation including – visas and work permits, etc
  • Administration and weekly updates of each production organization charts, noting starters/leavers/internal moves/pending application status etc
  • Support and be involved in HR projects as they arise and are assigned, proactively suggesting alternative processes and/or procedures in the interest of improvement, streamlining and innovation
  • Cover leave when required within the department which includes training administration on ad hoc basis

What Lighthouse are looking for

  • 3+ years’ experience working in a similar HR role
  • An innovative and strategic thinker
  • Proficiency in Excel, Word, and Outlook required
  • Ability to communicate effectively and tactfully with individuals on all levels through various platforms
  • Excellent written and verbal communication skills, along with positive attitude
  • Create and maintain personnel files and create procedures as required, prioritize and schedule work effectively
  • Knowledge of Human Resources practices and company policies strongly preferred
  • Must be able to maintain strict confidentiality
  • Ability to work independently and as part of a team
  • Ability to pay close attention to detail and understand written and oral instructions
  • Must be willing to work from our studio in Kilkenny
